Results

AutomateNow successfully facilitated Yospace's data migration from Salesforce to HubSpot, creating new data fields for improved segmentation, and cleaning up existing data. This included the removal of duplicate contacts and the correction of incomplete information. The team were also trained in the HubSpot fundamentals so they had the tools to make the most out of their new CRM.

The Challenge

Yospace was facing significant challenges in managing its opportunities and contacts within Salesforce. Their existing system was not efficiently handling their extensive database of over 9,000 contacts, 3000 companies and 1000+ deal records and associated notes.

The data was incomplete and it served no purpose for the marketing department, meaning it became difficult to reach out to prospects. They needed a more integrated and efficient solution to streamline their sales and marketing efforts, and manage their contacts' full lifecycle.

The Solution

Yospace decided to transition from Salesforce to HubSpot, as they wanted a more cohesive and user-friendly CRM platform. They needed assistance from an implementation partner and engaged with AutomateNow because of their expertise in HubSpot onboarding and data migration, all at an affordable price.

Kristian Melson, CRM Specialist at AutomateNow, collaborated closely with the Yospace team to understand their goals for HubSpot and how they would define success. Their main objective was to gain clearer insights into their customers, prospects, and deals through a more user-friendly system.

A process mapping exercise was carried out to document how sales and marketing operated at Yospace. This was then translated into a data map, helping to identify which data would be migrated, what development work was needed in HubSpot, and how the sales pipeline should be structured.

Work was then carried out to prepare the Salesforce data for migration, ensuring that thousands of records were correctly mapped and would be clean when they came into HubSpot. Throughout the migration, the Yospace team were trained in setting up their HubSpot accounts, deals, marketing, contact lists and sequencing, so they would be ready to use the improved functionality when the data arrived. 

The Results

After the successful migration to HubSpot, Yospace experienced significant improvements in managing their contacts and opportunities. AutomateNow created new properties and cleaned up existing data, including the removal of hundreds of duplicate contacts and the correction of incomplete information.

They also assisted in creating targeted lists and 1-2-1 sequences, meaning the sales and marketing team were able to reach out to 10x more prospects in a day compared to Salesforce. The transition resulted in a more streamlined and efficient CRM system being used in sync by the sales and marketing team, meaning Yospace now has a  better understanding of their customers and prospects. This will lead to more personalised and effective communications, as well as a more efficient sales pipeline.
